Job Description

We are seeking a highly organized and proactive Executive Assistant to support the General Manager. This role demands exceptional communication and multitasking skills, as you will be the primary point of contact between the General Manager and both internal staff and external clients. As an Executive Assistant, you will be responsible for a wide range of administrative tasks and a key player in ensuring the office operations run smoothly. The ideal candidate will possess the ability to anticipate needs, think critically, and offer solutions to problems with a high degree of professionalism and confidentiality. Responsibilities

  • Manage the General Manager's calendar with precision, coordinating meetings and appointments effectively.
  • Screen and prioritize incoming communications, including calls, emails, and correspondence.
  • Organize and maintain comprehensive filing systems for efficient document retrieval.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate travel logistics, including booking flights, accommodations, and itineraries for the General Manager.
  • Liaise with internal and external stakeholders, maintaining professional relationships.
  • Assist in the preparation of regularly scheduled reports and executive summaries.
  • Plan, organize, and oversee staff and client meetings, guaranteeing all logistics are covered.
  • Support the General Manager in handling confidential information with discretion and integrity.
  • Execute special projects as assigned, delivering successful outcomes on time and within budget.
  • Provide backup support in administrative duties when required by other departments.
  • Facilitate communication across departments to streamline processes relevant to the General Manager.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Minimum of 3 years’ experience as an Executive Assistant or in a similar role.
  • Excellent organizational and time-management skills are essential for the role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Exceptional communication skills, both written and verbal, are required.
  • Ability to handle sensitive information with the utmost confidentiality and professionalism.
  • Demonstrated ability to manage multiple projects with accuracy and efficiency.
