Job Description

We are seeking a highly organized and detail-oriented Executive Assistant to support our General Manager. As an integral part of the team, you will manage administrative tasks with efficiency, ensuring the smooth operations of the executive office. Your role will involve coordinating schedules, handling communication, and facilitating meetings, all while handling confidential information with discretion. This position requires excellent multitasking abilities, a proactive approach to problem-solving, and the ability to work independently and as part of a team. Responsibilities

  • Manage the General Manager's calendar and coordinate appointments, meetings, and events.
  • Act as the primary point of contact between the General Manager and internal/external stakeholders.
  • Prepare, review, and manage correspondence, reports, and presentations for executive meetings.
  • Organize and maintain confidential files and ensure adequate record-keeping systems.
  • Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
  • Conduct research and compile data to assist in decision-making and strategic planning.
  • Attending meetings, taking minutes, and distributing action points to relevant parties.
  • Assist in the development and implementation of organizational policies and procedures.
  • Support departmental projects by liaising with team members and tracking progress.
  • Optimize efficiency through process improvements and utilization of office technologies.
  • Manage incoming communications, filtering and prioritizing messages for the General Manager.
  • Coordinate with various departments to ensure seamless support for the executive office.

Requirements

  • Bachelor's degree in Business Administration, Management, or equivalent experience required.
  • Proven experience as an Executive Assistant or in a similar supportive role.
  • Exceptional organizational skills with experience managing executive-level administration.
  • Effective communication skills, both verbal and written, across all levels of an organization.
  • Proficiency in MS Office Suite, with strong skills in Excel, Word, and PowerPoint.
  • Strong problem-solving abilities with the capacity to work independently and efficiently.
  • Proven ability to handle confidential information with the highest level of discretion.
  • Flexibility to adapt to changing priorities and deliver under strict deadlines.
