We are looking for a top-tier Executive Assistant — discreet, highly reliable, and solution-oriented — with exceptional standards and the ability to independently manage agenda, priorities, communication, and daily operations.
The goal is to protect the Founder’s time, bring clarity and order to priorities, and ensure everything runs smoothly, precisely, and flawlessly.
Calendar & Priority Management
Full management of calendar, appointments, calls, meetings, follow-ups, and reminders
Screening requests, handling urgencies, and protecting the Founder’s time
Preparing the daily schedule with clear structure: objectives, critical points, and operational reminders
Communication & Coordination
Managing and filtering emails and operational messages with team members, suppliers, consultants, and partners
Drafting and reviewing official communications with a professional and consistent tone
Gathering information, ensuring quick alignments, updates, and follow-ups on ongoing tasks
Project Support & Progress Control
Supporting company projects by monitoring deadlines, tasks, documentation, and progress
Creating and maintaining operational checklists, procedures, tracking files, and concise reports
Organizing meetings with structured agendas, final notes, decisions, and assigned responsibilities
Documentation & Confidential Activities
Structured and traceable document management, archiving, version control, and access management
Operational support with accountants, notaries, and consultants regarding documentation, signatures, and submissions
Absolute confidentiality in handling sensitive information and materials
Travel & Logistics (Italy – Dubai)
Managing business travel, transfers, flights, hotels, cars, itineraries, timing, documentation, and logistical assistance
Organizing meetings, events, and appointments with meticulous attention to detail
Vendors & Micro-Operations
Requesting quotes, comparing offers, follow-ups, reminders, and coordinating deliveries
Supporting purchases and operational needs with speed and practical mindset
Essential Requirements
Proven experience in similar roles: Executive Assistant, Senior Personal Assistant, Senior Office Manager, or equivalent
Impeccable written and spoken Italian
Fluent English (written and spoken)
Strong proficiency with digital and organizational tools: Google Workspace or Microsoft Office, shared calendars, documents, spreadsheets, task management systems
Absolute discretion, reliability, precision, method, and speed
Ability to work under pressure and manage multiple priorities without losing clarity
Operational autonomy, ownership mindset, attention to detail, and strong prioritization skills
Preferred Educational Background
Bachelor’s degree (preferred) in Languages and Linguistic Mediation, International Relations, Economics and Management, Law, Communication Sciences
Alternatively, an outstanding diploma with documented high-level professional experience
Plus Factors That Raise the Bar
Experience in high-intensity, fast-paced environments
Business writing, protocol knowledge, negotiation skills, problem-solving ability
Experience working across multiple time zones (Italy – Dubai coordination)
Ability to anticipate issues and resolve them before they become urgent
