The Executive Assistant to the CEO plays a critical and multifaceted role, ensuring the smooth operation of the executive office. This position is pivotal for enhancing the productivity of the CEO by managing all associated administrative tasks, strategic projects, and acting as a liaison between the executive and various stakeholders. With rigorous attention to detail, the Executive Assistant anticipates the needs of the CEO, providing a seamless day-to-day workflow that includes everything from complex calendar management to handling sensitive communications. This role requires exceptional organizational skills, a high level of professionalism, and the ability to work independently in a fast-paced environment. The ideal candidate will possess excellent communication skills, discretion, and the capacity to support the CEO in decision-making processes by providing well-researched information and analysis. Responsibilities

  • Coordinate, manage, and maintain the CEO’s complex calendar, ensuring no scheduling conflicts.
  • Prepare and brief the CEO with necessary information and materials for meetings.
  • Screen and prioritize all forms of communication to the CEO, including emails and phone calls.
  • Plan, coordinate, and manage travel arrangements, including booking flights and accommodations.
  • Assist the CEO with daily administrative tasks to enhance productivity and efficiency.
  • Serve as the primary point of contact for internal and external constituents on matters pertaining to the CEO.
  • Organize executive team meetings, prepare agendas, and follow up on action items.
  • Conduct research, collect and analyze data to prepare reports and documents for the CEO.
  • Facilitate efficient communication and collaboration between CEOs and department heads.
  • Handle confidential information with a high degree of discretion and professionalism.
  • Support the CEO in strategic committee meetings by drafting minutes and sending detailed summaries.
  • Assist in organizing special events and projects as directed by the CEO or executive team.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as an executive assistant or in other secretarial position.
  • Excellent time management skills and ability to multitask efficiently.
  • Proficiency with advanced Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong problem-solving skills with a results-driven approach to work.
  • Outstanding communication and negotiation abilities to liaise with stakeholders effectively.
  • Ability to maintain a high level of confidentiality and exercise discretion consistently.
