Job Description

As an Executive Assistant to the CEO, you will serve as a pivotal bridge between the leadership team and various stakeholders, both internal and external. This role demands exceptional organizational abilities, proactive problem-solving skills, and a professional demeanor. You will handle a diverse range of administrative tasks and should exhibit a high degree of initiative and independent judgment in planning and organizing. The successful candidate will thrive in a fast-paced environment and must be comfortable managing multiple priorities simultaneously. Responsibilities

  • Provide high-level administrative support to the CEO, coordinating complex schedules and travel arrangements.
  • Manage the CEO’s calendar, ensuring effective prioritization and timely resolution of conflicts.
  • Prepare and edit correspondence, reports, and presentations for executive meetings and briefings.
  • Facilitate communication between the CEO and executive leadership team, ensuring alignment on company strategies.
  • Plan, organize, and coordinate logistics for board meetings, including preparation of agendas and materials.
  • Serve as the primary point of contact for internal and external communications with the CEO’s office.
  • Maintain confidentiality and discretion while handling sensitive information and communication.
  • Conduct research and compile data for reports or special projects as requested by the CEO.
  • Anticipate the needs of the CEO and proactively provide solutions to enhance productivity.
  • Coordinate with other executive assistants to ensure the smooth operation of executive functions.
  • Track and manage CEO's tasks and projects, ensuring deadlines are met and priorities are balanced.
  • Assist in the development and implementation of company initiatives and strategic goals.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • At least 5 years of experience supporting senior executives in a dynamic environment.
  • Exceptional communication skills, both written and verbal, with attention to detail.
  • Proven ability to maintain confidentiality and handle sensitive situations with discretion.
  • Strong organizational skills, with the ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Experience in coordinating and managing logistics for executive-level meetings and events.
  • Ability to work independently, take initiative, and anticipate the needs of the executive.
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
