Job Description

The Executive Assistant to the CEO is a critical role within our organization, designed for a highly organized and proactive individual who thrives in a fast-paced environment. This position involves providing high-level, confidential administrative support to the CEO while acting as the primary point of contact for internal and external stakeholders. The ideal candidate will possess excellent communication skills, be detail-oriented, and demonstrate the ability to effectively manage multiple priorities. You will play a pivotal role in coordinating activities, enhancing productivity, and ensuring the seamless operation of the CEO office. A successful Executive Assistant can anticipate the needs of the CEO and independently tackle administrative tasks, freeing the CEO to focus on the strategic aspects of the business.


Responsibilities

  • Manage and prioritize the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and review correspondence, reports, and presentations for accuracy and completeness.
  • Act as the liaison between the CEO and internal teams, stakeholders, and external partners.
  • Coordinate and manage the logistics of executive-level meetings and events.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Assist with the preparation of board materials and other executive documentation.
  • Screen and prioritize incoming communications, including emails and phone calls.
  • Manage special projects and assignments as directed by the CEO, ensuring timely completion.
  • Maintain an organized filing system of both electronic and paper-based documents.
  • Prepare expense reports and manage the CEO's administrative budget.
  • Develop and implement efficient administrative processes to improve overall office productivity.
  • Support the CEO in various strategic initiatives and ad-hoc tasks as required.

Requirements

  • Bachelor’s degree in Business Administration or related field is preferred.
  • Minimum of 5 years experience as an Executive Assistant to a senior executive.
  • Excellent verbal and written communication skills are essential for this role.
  • Strong proficiency in Microsoft Office Suite and other relevant software applications.
  • Exceptional organizational skills with a keen attention to detail and accuracy.
  • Ability to handle high-pressure situations and meet tight deadlines efficiently.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
