Job Description

We are seeking a highly organized and proactive Executive Assistant to support the CEO of our company. The ideal candidate will possess exceptional communication skills, a high degree of professionalism, and the ability to handle confidential information with discretion. As an Executive Assistant, you will be responsible for managing the CEO’s schedule, coordinating meetings, and acting as a liaison between the CEO and internal or external partners. This role requires a detail-oriented individual capable of working independently, multitasking effectively, and adapting to a fast-paced, dynamic work environment. Your contribution will be critical in ensuring that the CEO’s day-to-day operations run smoothly and efficiently.


Responsibilities

  • Manage and maintain the CEO’s schedule, including coordinating appointments and meetings.
  • Act as the point of contact between the CEO and internal/external clients.
  • Prepare agenda and brief meeting materials for CEO’s various engagements.
  • Handle confidential information with discretion and integrity at all times.
  • Plan and coordinate travel arrangements, including booking flights and accommodation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist the CEO with strategic planning and managing deadlines for projects.
  • Organize and oversee special projects, and act as a project manager for special tasks.
  • Facilitate effective communication and prepare reports, memos, and other documents.
  • Research and collect information to prepare comprehensive reports for review.
  • Review and prioritize incoming and outgoing correspondence for the CEO.
  • Manage office supplies related to the CEO's office and track inventory levels.

Requirements

  • Bachelor's degree in Business Administration or related field is preferred.
  • Minimum of 3 years of experience as an Executive Assistant or similar role.
  • Strong organizational skills and exceptional attention to detail required.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Ability to multitask and prioritize workload under minimal supervision efficiently.
  • High level of confidentiality, discretion, and professionalism when handling sensitive data.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
