Job Description

The Executive Assistant to the CEO plays a critical role in maintaining the efficiency and productivity of the executive office. This role requires a highly organized, detail-oriented individual who can manage a wide range of administrative tasks, coordinate projects, and act as a liaison between the CEO and various internal and external stakeholders. The ideal candidate should be able to handle sensitive and complex issues with discretion and maintain a high degree of professionalism. In addition to administrative duties, the Executive Assistant is responsible for proactive calendar management, travel arrangements, meeting coordination, and communication management. This position demands excellence in written and verbal communication, as well as the ability to work independently and as part of a dynamic team.


Responsibilities

  • Coordinate and manage all professional commitments and calendar schedule for the CEO.
  • Act as a point of contact among executives, employees, and external partners.
  • Plan and execute travel arrangements including flights, accommodation, and itineraries.
  • Handle confidential information with discretion and ensure security of sensitive documents.
  • Prepare and edit correspondence, reports, and presentations for internal and external use.
  • Organize and coordinate meetings, conferences, and teleconferences when needed.
  • Conduct research and compile data to prepare documents for review and presentation.
  • Monitor and prioritize incoming communications, and respond on behalf of the CEO as needed.
  • Assist with preparing budgets, tracking expenses, and managing invoices for the CEO's office.
  • Develop systems to ensure efficient operation and coordination within the executive office.
  • Coordinate with other executive assistants for cross-functional team projects and initiatives.
  • Ensure the CEO is well-prepared for meetings, presentations, and engagements.

Requirements

  • Bachelor's degree in Business Administration or related field is highly preferred.
  • Minimum of five years experience in an executive assistant role supporting C-level executives.
  • Exceptional organizational skills and the ability to multitask efficiently under pressure.
  • Strong interpersonal and communication skills, both verbal and written, are essential.
  • Proficient in Microsoft Office Suite, especially Word, Excel, Outlook, and PowerPoint.
  • Ability to maintain composure and professionalism in high-pressure environments.
  • Flexible schedule with the ability to accommodate the CEO’s changing requirements.
