Job Description

As the Executive Assistant to the CEO, you will play a pivotal role in ensuring the smooth operation of the executive office. This position requires an individual who is highly organized, proactive, and capable of managing multiple responsibilities simultaneously. You will act as a trusted partner, handling sensitive and confidential information with the utmost discretion. Your day-to-day activities will involve coordinating the CEO's schedule, managing communications, and driving key projects on behalf of the executive office. The ideal candidate is someone with exceptional communication skills, keen attention to detail, and the ability to adapt quickly to changing priorities. Responsibilities

  • Manage the CEO’s calendar, scheduling meetings and appointments efficiently.
  • Screen, prioritize, and direct calls and correspondence to the CEO’s office.
  • Organize travel arrangements, including flights, accommodations, and itineraries.
  • Prepare executive communications, including reports, presentations, and briefings.
  • Facilitate meetings by arranging venues, preparing agendas, and taking minutes.
  • Coordinate and follow-up on key projects and tasks assigned by the CEO.
  • Maintain extensive and complex systems of records and files for executive projects.
  • Liaise with internal departments and external stakeholders on behalf of the CEO.
  • Assist in the development and implementation of organizational goals and initiatives.
  • Manage confidential information with a high level of integrity and discretion.
  • Conduct research and compile data to support decision-making processes.
  • Serve as a sounding board and a critical thinker to the CEO on strategic issues.

Requirements

  • Bachelor’s degree or equivalent experience in Business Administration or related fields.
  • Minimum of 3 years of experience supporting C-suite executives effectively.
  • Exceptional organizational skills and capability to manage multiple tasks seamlessly.
  • Superior written and verbal communication skills for clear stakeholder interaction.
  • Strong proficiency in Microsoft Office Suite and other productivity tools.
  • Proven ability to maintain confidentiality and exercise mature judgment.
  • Flexible and adaptable to a fast-paced and ever-changing work environment.
