Job Description

As an Executive Assistant to the CEO, you will play a crucial role in supporting the day-to-day operational and administrative functions of our executive office. Your primary responsibilities will include managing the CEO's schedule, coordinating meetings, and handling communication on behalf of the CEO. You will serve as a point of contact for key stakeholders, including board members, senior management, and external partners. The ideal candidate should possess exceptional organizational and communication skills, be able to multitask efficiently under tight deadlines, and have a professional demeanor. This role requires a high level of confidentiality, discretion, and the ability to anticipate the needs of an executive operating in a fast-paced environment.


Responsibilities

  • Manage and maintain the CEO's calendar with precision and attention to detail.
  • Coordinate and schedule meetings, including gathering and preparing necessary documents.
  • Handle all communication with professionalism, accuracy, and due confidentiality.
  • Prepare and edit correspondence, reports, and presentations for the CEO.
  • Organize and facilitate executive travel plans, including flight, accommodation, and transport arrangements.
  • Liaise with internal divisions and external partners to support CEO initiatives and directives.
  • Manage the organization and retrieval of electronic and paper records as required by the CEO.
  • Coordinate special projects and events in support of executive objectives.
  • Conduct research and gather information on behalf of the CEO for decision making.
  • Assist in the preparation of board meeting materials and distribute meeting minutes.
  • Monitor and respond to email inquiries promptly and on behalf of the CEO as needed.
  • Arrange and coordinate client or stakeholder meetings, both in-person and virtual.

Requirements

  • Bachelor’s degree in Business Administration or a related field is preferable.
  • Minimum of 5 years of experience supporting C-level executives in a similar role.
  • Exceptional written and verbal communication skills are required for interacting with high-level contacts.
  • Excellent organizational, time-management, and multitasking abilities are essential to the role.
  • High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital communication tools.
  • Strong sense of discretion and confidentiality when handling sensitive information or issues.
  • Proactive approach to problem-solving with strong decision-making capabilities.
  • Ability to work independently and collaboratively while managing multiple priorities and projects.
