Job Description

The role of an Executive Assistant to the CEO is integral to the seamless operation of our executive team's activities. This position is pivotal for ensuring that the CEO can focus on strategic objectives while day-to-day operational tasks are handled efficiently. The ideal candidate will possess exceptional organizational skills, displayed through adept handling of scheduling, communication, and project management. They will act as a gatekeeper, managing the CEO's calendar, coordinating internal and external meetings, and handling correspondence. An ability to maintain discretion and confidentiality is paramount. This role requires someone adaptable, proactive, and excellent at multitasking, as they will act as a liaison between the CEO and various departments, clients, and stakeholders. The Executive Assistant will have the unique opportunity to partner closely with the CEO, gaining insights into high-level executive operations and strategies.


Responsibilities

  • Manage and prioritize the CEO's calendar to ensure efficient time management.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Serve as the first point of contact between the CEO and external stakeholders.
  • Organize and facilitate meetings, ensuring all necessary materials are prepared.
  • Assist in the preparation and review of presentations, reports, and other documents.
  • Monitor and manage communication via emails, phone calls, and correspondence.
  • Handle confidential information with discretion and maintain professionalism at all times.
  • Assist in organizing company events and meetings as required by the CEO.
  • Coordinate special projects and initiatives as directed by the CEO.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Perform general administrative duties, including filing, typing, copying, and scanning.
  • Work collaboratively with other departments to achieve organizational goals.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or similar role.
  • Exceptional organizational skills and excellent attention to detail are essential.
  • Strong proficiency in Microsoft Office Suite and project management software.
  • Outstanding communication skills, both written and verbal, are required.
  • Proven ability to handle confidential information with integrity and discretion.
  • Demonstrated ability to manage multiple tasks and meet strict deadlines.
