Why does this role exist?
This role exists to alleviate the client’s time constraints by providing proactive, organized, and detail-oriented support across vendor communication, digital presence management, and project assistance. The assistant will streamline operations by managing payments, updating digital platforms, handling high volumes of communication, and supporting financial analysis. This position is critical to improving organizational efficiency and allowing the client to focus on strategic business growth.
The Impact you’ll make
Vendor Communication & Payment Management- Serve as the primary point of contact for vendors regarding invoices, payments, and service updates.
- Summarize vendor communications for the client, prioritizing urgent matters and filtering out non-essential inquiries.
Data Upkeep & Digital Presence Maintenance- Update restaurant menus, hours, and promotions on platforms like Popmenu, DoorDash, Uber Eats, and OpenTable.
- Ensure all digital storefronts and marketing information are accurate and current.
Communication Management- Organize and respond to high volumes of emails and text messages, flagging urgent communications for the client.
- Maintain logs and follow up on pending messages to ensure no important correspondence is missed.
Project & Financial Management- Create and maintain Excel spreadsheets for financial analysis, cost control, and scenario planning.
- Prepare reports on vendor pricing and cost trends to support strategic decision-making.
System Updates & CRM Maintenance- Work with web developers to update digital storefronts and maintain CRM systems, ensuring data accuracy and consistency.
- Proactively suggest improvements to technology and workflows based on industry best practices.
Skills, Knowledge and Expertise
Required:- Proven experience as an Executive Assistant supporting senior executives in fast-paced environments.
- Strong vendor communication skills, particularly regarding payments and invoicing.
- Proficiency with digital platform updates (Popmenu, DoorDash, Uber Eats, OpenTable) and CRM management.
- Advanced Excel skills for financial analysis and reporting.
- Experience managing high volumes of email and text communications professionally and efficiently.
- Proficiency in ZoomInfo (non-negotiable)
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home

Work Setup:- Remote position
- Must have a reliable internet connection and a quiet workspace
- Required to provide own computer with Intel Core i5 or something similar or higher operating system
Working Hours:- 40 hours per week
- Monday to Friday, 8:00 AM to 5:00 PM Pacific Standard Time
Compensation:- $7 per hour
