Job Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will be a master of multitasking, with the ability to anticipate the needs of the executives they support. This position requires excellent communication skills, an eye for detail, and a high level of discretion and confidentiality. As an Executive Assistant, you will be responsible for managing a wide range of administrative and executive support tasks, ensuring smooth and efficient operation of the executive office. Responsibilities

  • Coordinate and manage executives' daily schedules to ensure optimal time utilization.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research and compile reports or presentations with analyses and recommendations.
  • Organize and facilitate meetings, including preparing agendas and taking minutes.
  • Screen and prioritize incoming communication and correspondence for executive attention.
  • Maintain and update confidential files and records, ensuring data integrity and security.
  • Arrange complex and detailed travel plans, itineraries, and appointments for executives.
  • Assist in the preparation of briefing material for executives for key meetings and events.
  • Liaise with internal and external stakeholders to coordinate executive-level activities.
  • Provide administrative support in organizing company's professional events and functions.
  • Act as a point of contact between executives and business associates or partners.
  • Support executives with special tasks and projects that require a high level of discretion.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Proven experience as an Executive Assistant or a similar administrative role.
  • Exceptional organizational skills and ability to manage multiple priorities effectively.
  • Strong written and verbal communication skills, with an eye for detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • High level of integrity and ability to handle sensitive and confidential information.
  • Ability to work independently and collaboratively in a dynamic business environment.
