Job Description

As a crucial member of our executive team, the Executive Assistant plays a pivotal role in ensuring seamless operations and increased efficiency within the organization. This position demands a highly organized, proactive, and adaptable individual who can manage various tasks and maintain confidentiality at the highest levels. The Executive Assistant will work closely with senior executives, providing high-level administrative support, anticipating the needs of leaders, and facilitating communication throughout the company. Responsibilities

  • Coordinate extensive travel plans for executives, including booking flights and accommodations.
  • Maintain executive calendars by scheduling meetings, appointments, and events effectively.
  • Prepare and manage correspondence, reports, and documents with utmost confidentiality.
  • Screen and direct phone calls and distribute correspondence as appropriate.
  • Organize and set up executive meetings, including preparing agendas and materials needed.
  • Act as the point of contact between executives and internal/external clients.
  • Monitor and respond to emails when required, maintaining executive-level standards.
  • Manage administrative tasks such as expense reporting for executives accurately.
  • Liaise with other staff on behalf of senior executives to ensure smooth communications.
  • Handle sensitive information in a confidential manner and ensure data privacy.
  • Assist in the preparation of presentations and tracking of action items post-meetings.
  • Provide general support to executive visitors and other ad hoc duties as needed.

Requirements

  • Proven experience as an Executive Assistant or in another relevant administrative role.
  • Exceptional organizational and time-management skills are essential for this role.
  • Ability to multitask efficiently and prioritize tasks effectively and independently.
  • Strong written and verbal communication skills for effective correspondence.
  • High level of discretion and judgment in handling confidential information securely.
  • Proficiency with office software such as Microsoft Office Suite and other relevant tools.
  • Bachelor's degree in Business Administration or related field is highly preferred.
