Job Description

An Executive Assistant plays a pivotal role in operations by ensuring efficient organization and management of executive schedules, communications, and administrative tasks. This position demands a high level of trust, discretion, and diplomacy, as the individual is the first point of contact between the executive and the outer world. The ideal candidate will have a remarkable ability to juggle various tasks with precision and minimal supervision, acting as a reliable right hand to the executive. This role requires a proactive approach to problem-solving with strong decision-making skills and a detailed understanding of the company’s goals and values. The Executive Assistant will provide high-level support and play a critical role in facilitating the executive’s effectiveness and efficiency.


Responsibilities

  • Manage and prioritize the executive's calendar to maximize productivity.
  • Coordinate and prepare meetings, ensuring all necessary materials are available.
  • Serve as a liaison between the executive and internal/external contacts efficiently.
  • Facilitate communication by screening phone calls and managing correspondence.
  • Organize travel arrangements, accommodation, and detailed itinerary for the executive.
  • Maintain confidentiality and handle sensitive information with discretion and care.
  • Prepare reports, presentations, and correspondence as needed by the executive.
  • Monitor and manage projects to ensure deadlines and objectives are met.
  • Provide administrative support, including filing, billing, and data entry tasks.
  • Assist in preparing and processing expense reports and budgets accurately.
  • Collaborate with other assistants to organize company events and initiatives.
  • Support the executive's goals by tracking priorities and projects progress.

Requirements

  • Bachelor's degree in Business Administration or related field preferred.
  • Proven experience as an Executive Assistant or similar role for three years.
  • Exceptional verbal and written communication skills are necessary.
  • Proficient in MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work independently, prioritize tasks and manage time effectively.
  • Strong problem-solving skills and attention to detail for high accuracy.
  • Proficiency in handling multiple tasks and projects concurrently and efficiently.
