Job Description

We are seeking an experienced and proactive Executive Administrative Assistant to join our dynamic team. In this role, you will provide high-level administrative support to our executive team, handling a variety of tasks to ensure efficient operational functionality. Our ideal candidate is a detail-oriented, organized professional with excellent communication skills and the ability to multitask in a fast-paced environment. You will play a crucial role in our organization by acting as a point of contact between executives, employees, clients, and external partners. Your primary aim is to contribute to the efficiency of our business by providing personalized and timely support to executive members.


Responsibilities

  • Manage calendars and schedule meetings, ensuring no conflicts occur.
  • Coordinate travel arrangements and create detailed itineraries for executives.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain electronic filing systems for easy retrieval of documents.
  • Act as a liaison between the executive team and internal or external communications.
  • Conduct research, compile data, and prepare papers for consideration and presentation.
  • Monitor and manage emails, responding on behalf of executives when necessary.
  • Assist with expense reports and budget management ensuring accuracy and timeliness.
  • Plan, coordinate, and facilitate events and meetings, including logistics and materials.
  • Handle sensitive and confidential information with a high level of discretion.
  • Develop and implement office procedures to improve workflow and efficiency.
  • Provide administrative support during company projects and initiatives as needed.

Requirements

  • Proven experience as an Executive Administrative Assistant or similar role.
  • Proficient in Microsoft Office Suite and comfortable with other office technologies.
  • Excellent time management skills and the ability to prioritize tasks effectively.
  • Exceptional communication skills, both written and verbal for varied audiences.
  • Strong organizational skills with an ability to manage multiple projects concurrently.
  • High level of discretion and confidentiality when dealing with sensitive operations.
  • Bachelor's degree in Business Administration or a related field preferred.
