The Executive supports the Managers in driving best practices, innovation, and strategic improvements across medical specialties in line with the Academic Health System (AHS) and Centre of Excellence (COE). The role is responsible for assisting in the development and maintenance of COE frameworks, coordinating cross-functional activities, managing data and documentation, and supporting policy, governance, and service excellence initiatives.
This position also plays a key role in stakeholder coordination, meeting facilitation, digital tool implementation support, and monitoring of specialty services across KPJ hospitals. The Executive ensures the smooth operational execution of projects, timely reporting, and effective communication among internal and external partners.
Job Description
Administrative and Project Support
Assist in planning and executing multiple projects under the Manager’s supervision.
Track project milestones and ensure timely submission of deliverables.
Prepare proposals, briefs, newsletters, and content for internal communication.
Maintain organized documentation, databases, and filing systems.
Provide general administrative and operational support as required
Stakeholder Coordination & Engagement
Assist in planning and executing multi-site projects under the division.
Track project milestones and ensure timely submission of deliverables.

Provide general administrative and operational support as required.
Act as the administrative and coordination point between hospitals, COE teams, HOS, KPJU, and Group Clinical Services.
Schedule, organize, and document meetings including subcommittee sessions, workshops, and project discussions with stakeholders.
Support communication and follow-up actions for internal and external stakeholders.
Strategic Development & Support
Assist in the development, updating, and maintenance of the COE framework and specialty service mapping.
Support the formulation of operational requirements, SOPs, and documentation for specialty services.
Assist in monitoring the implementation of COE and specialty initiatives across hospitals.
Help track KPIs and gather evidence to support performance reporting.
Conduct benchmarking research on specialty and COE practices locally and internationally.
Training, Workshops & Events
Support planning and execution of specialty workshops, conferences, and training programs.
Coordinate logistics, materials, and participant communications.
Assist in developing training materials and liaising with KPJ University and external training partners.
Document outcomes and prepare post-event reports.
Policy, Governance & Quality Support
Assist in preparing policy drafts, procedure updates, and meeting papers.
Maintain records of compliance with accreditation requirements such as MSQH, JCI, and related standards.
Support the standardization of clinical protocols, pathways, and service excellence practices across hospitals.
Track implementation progress and collate feedback from hospitals.
Education
JOB REQUIREMENT :
Bachelor’s degree in healthcare management, Business Administration, Medicine, or a related field.
Additional certifications in healthcare quality, project management, or data analytics are an advantage
Knowledge & Experience
1–3 years of experience in healthcare administration, hospital operations, academic health, or related areas is preferred.
Experience in coordinating projects, managing meetings, and handling multiple stakeholders is beneficial.
Familiarity with COE concepts, accreditation standards (MSQH, JCI), and clinical governance is an added advantage.
Basic understanding of digital health tools, EMR systems, dashboards, or data platforms.
