Job Description

An Events Coordinator at 18F26 is responsible for organizing and managing events that effectively promote the company’s goals and enhance its image within the community. The role requires creativity, enthusiasm, and a keen eye for detail in planning events that capture the audience's interest and ensure seamless execution. From small meetings to large-scale conferences, the coordinator will ensure that every event is meticulously organized and that all logistical details are handled efficiently. Working collaboratively with different departments, the Events Coordinator is central in coordinating event logistics, managing relationships with vendors, and making sure that each event aligns with the company’s values and image. The ideal candidate will be highly organized, with excellent communication and interpersonal skills, capable of managing multiple projects at once while maintaining a high standard of quality.


Responsibilities

  • Plan and execute events from concept to completion ensuring seamless delivery.
  • Coordinate with vendors and suppliers to secure event venues and services.
  • Develop and manage event budgets to ensure cost-effectiveness.
  • Collaborate with marketing teams to promote and publicize planned events.
  • Negotiate contracts with service providers to obtain favorable terms.
  • Manage event logistics including registration, transportation, and accommodations.
  • Oversee the setup and breakdown of event venues to ensure smooth operations.
  • Monitor event timelines to keep all activities on schedule.
  • Conduct post-event evaluations to gather feedback and measure success.
  • Resolve issues that arise during events to ensure client satisfaction.
  • Manage invitation lists and handle guest RSVPs for effective guest management.
  • Analyze the event's success and prepare comprehensive reports post-event.

Requirements

  • Bachelor’s degree in Event Management, Hospitality, or related field preferred.
  • Proven experience as an Events Coordinator or similar role for two years.
  • Strong organizational skills and ability to manage multiple events effectively.
  • Excellent communication and negotiation skills for stakeholder management.
  • Ability to work under pressure while managing tight deadlines and budgets.
  • Proficiency in event management software and Microsoft Office Suite required.
  • Creative thinker with a positive attitude and problem-solving skills.
