Job Description

Position Overview:

The Document Controller is responsible for managing, organizing, and controlling all project documentation throughout the construction lifecycle. This role ensures proper document flow, version control, and compliance with project specifications and industry standards.

Key Responsibilities

Document Management

  • Establish and maintain document control systems and procedures
  • Receive, log, distribute, and track all project documents including drawings, specifications, contracts, and correspondence
  • Ensure proper document version control and maintain document registers
  • Implement and enforce document naming conventions and filing systems
  • Archive completed project documentation per company and regulatory requirements

Quality Control & Compliance

  • Review documents for completeness, accuracy, and compliance with project requirements
  • Coordinate document reviews and approvals with project stakeholders
  • Track document submissions, reviews, and approval status
  • Ensure adherence to document control procedures and industry standards
  • Maintain confidentiality and security of sensitive project information

Communication & Coordination

  • Serve as liaison between project teams, contractors, consultants, and clients regarding document matters
  • Distribute documents to appropriate parties according to distribution matrices
  • Coordinate document transmittals and maintain transmission records
  • Support project meetings by preparing and distributing relevant documentation

Required Skills and Experience:

  • High school diploma or equivalent required; Associates degree preferred
  • 8+ years of experience in document control, preferably in construction or engineering
  • Experience with construction project lifecycle and documentation requirements
  • Proficiency in document management systems (e.g., Procore, Aconex, SharePoint)
  • Advanced knowledge of Microsoft Office Suite, particularly Excel
  • Familiarity with CAD software and drawing management
  • Understanding of construction drawings, specifications, and technical documents
  • Knowledge of quality management systems (ISO 9001 advantageous)
