Job Description

We are seeking a meticulous and organized Document Controller to join our team at Site 25M26. In this critical role, you will be responsible for managing and maintaining all project-related documents and records. This is an excellent opportunity for a highly detail-oriented and proactive individual to ensure the smooth document flow in a dynamic construction environment. You will play a key role in organizing, categorizing, and protecting project documents, ensuring that all teams have access to the information they need to drive the project forward efficiently. The ideal candidate will possess outstanding communication skills, technical document management experience, and the ability to work effectively under pressure to meet deadlines.


Responsibilities

  • Manage and maintain comprehensive filing system and database for documents.
  • Ensure project documents are complete, accurate, and up-to-date at all times.
  • Perform regular audits on document storage to maintain compliance standards.
  • Coordinate with project managers to ensure document retrieval and delivery.
  • Monitor document control processes and procedures for continuous improvement.
  • Manage incoming and outgoing project documents in accordance with protocols.
  • Provide training and guidance to staff on document control processes.
  • Prepare and distribute documents to relevant parties in a timely manner.
  • Develop, implement, and maintain document control procedures and policies.
  • Coordinate with external vendors and contractors for document exchange.
  • Support audit processes by providing necessary documentation and reports.
  • Ensure confidentiality and security of all sensitive document information.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • Minimum of 3 years of experience in document control or records management.
  • Proficiency with document management software and Microsoft Office Suite.
  • Strong organizational and multitasking skills to handle several tasks simultaneously.
  • Excellent attention to detail to identify errors and implement corrections.
  • Strong communication skills to interact effectively with all team members.
  • Knowledge of document control practices and standards within the industry.
