Job Purpose

JOB DESCRIPTION

The Document Controller is responsible for managing, controlling, and maintaining project documentation to ensure accuracy, accessibility, and compliance with company procedures. The role ensures that all project documents are properly recorded, distributed, and archived within the Electronic Document Management System (EDMS), facilitating efficient communication and document flow between the company, contractors, consultants, and suppliers.

Key Responsibilities


  • Process and manage the transmittal of information and documents between the company, contractors, consultants, and suppliers.
  • Ensure all project-related documentation is properly logged, tracked, and maintained within the Electronic Document Management System (EDMS).
  • Maintain organized electronic document filing systems to ensure easy retrieval and version control.
  • Process and record all official project documentation, including engineering and technical documents, correspondence, project management records, commercial documentation, legal documents, and vendor-related files
  • Generate and organize transmittal letters for internal and external stakeholders to ensure proper documentation flow.
  • Distribute, receive, and control all project-related documents in accordance with company procedures.
  • Receive incoming documentation and ensure timely distribution to the relevant project teams, consultants, contractors, and other stakeholders.
  • Organize and manage electronic files and documents using SharePoint and the Electronic Document Management System (EDMS).
  • Support the continuous improvement and development of document control procedures and guidelines to ensure accurate and updated project documentation.


Experience


  • Diploma or Bachelor’s Degree in Business Administration, Engineering, Information Management, or related field
  • Minimum 5–8 years of experience in document control within construction, engineering, or real estate development projects.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience using SharePoint and Electronic Document Management Systems (EDMS).
  • Knowledge of document control standards and procedures in construction projects.
