Job Description

The Document Controller II is responsible for managing the flow of documentation and ensuring the accurate storage and retrieval of critical information. This role is vital for maintaining compliance with organizational policies and industry regulations. As a Document Controller II, you will coordinate with various departments to collect, manage, and store documents electronically and physically. You will ensure that access to documents is granted only to authorized personnel, maintaining the security and confidentiality of sensitive information. This position requires a detail-oriented individual with excellent organizational and communication skills, capable of handling multiple tasks and prioritizing effectively. The Document Controller II will play a key role in streamlining documentation processes, enhancing document accuracy, and contributing to the overall efficiency of the organization. You will act as a liaison between different teams, providing support and training on document management systems and protocols, ensuring the documentation is up to date and easily accessible.


Responsibilities

  • Manage and maintain an organized system for the documentation of all project files.
  • Coordinate with different departments to ensure documents are submitted on time.
  • Ensure all documentation complies with organizational and industry standards.
  • Control access to documents to safeguard sensitive information effectively.
  • Review and update documents for accuracy, consistency, and compliance before archiving.
  • Develop and implement processes for document control to improve efficiency.
  • Provide training and support to staff on document management systems usage.
  • Facilitate document retrieval and access for authorized personnel as needed.
  • Ensure the accurate scanning, storage, and archival of physical documents.
  • Prepare documentation reports and summaries for management review weekly.
  • Handle document control issues promptly and escalate unresolved matters appropriately.
  • Collaborate with IT to maintain and troubleshoot document management systems.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum of 3 years experience in document control or administration roles.
  • Proficiency with document management software and systems required.
  • Strong attention to detail and the ability to organize tasks effectively.
  • Excellent written and verbal communication skills are essential.
  • Familiarity with industry regulations and compliance standards preferred.
  • Ability to work independently and collaboratively within a multidisciplinary team.
