Job Description

The role of a Document Controller is crucial in ensuring that construction or engineering projects run smoothly by managing documents. As a Document Controller, you will be responsible for maintaining and handling important documents in both electronic and hard copy formats. This position requires an individual with excellent organizational skills and attention to detail, as you will be tasked with creating, distributing, and storing documents efficiently. Your role will involve working closely with project managers, engineers, and other team members to ensure that the documentation is accurate, up-to-date, and accessible. The ideal candidate will be adept at using document management systems, have strong communication skills, and an understanding of compliance and quality control procedures.


Responsibilities

  • Manage and control all project documentation to ensure consistency and accuracy.
  • Develop and implement document control procedures and policies.
  • Distribute documents and updates to relevant internal and external stakeholders.
  • Maintain a comprehensive filing system and ensure document retrieval is efficient.
  • Collaborate with team members to ensure document submissions meet deadlines.
  • Ensure all documents meet compliance and quality standards before distribution.
  • Assist in the preparation of reports by compiling data from various documents.
  • Ensure the security and confidentiality of all project documents.
  • Monitor and oversee document version control throughout the project lifecycle.
  • Train staff on the use of document management software and procedures.
  • Conduct regular audits to ensure compliance with document control procedures.
  • Provide support during meetings to record and compile minutes of discussions.

Requirements

  • Bachelor's degree in business administration, engineering, or a related field.
  • Minimum of 3 years experience in document control or a similar role.
  • Proficient in using document management software and Microsoft Office Suite.
  • Strong attention to detail and excellent organizational skills are essential.
  • Ability to work independently and collaboratively within a team environment.
  • Familiarity with compliance standards and quality assurance practices needed.
  • Excellent written and verbal communication skills for effective documentation.
