Job Description

The role of a Document Controller is pivotal in ensuring seamless management and organization of documents in any business setting. As a Document Controller at our company, you will be a key part of our operations team, responsible for managing critical company documents and ensuring their accuracy, quality, and integrity. Your main task will be to maintain comprehensive systems for managing both hard copy and electronic documents, making certain they are easily accessible to authorized personnel and securely stored to prevent unauthorized access. You will collaborate with other departments to ensure that all documents meet the required standards, are distributed appropriately, and archived systematically. This role requires you to be meticulously organized, have keen attention to detail, and be proficient with document management software to streamline operations efficiently.


Responsibilities

  • Maintain and update document management systems for efficient workflow processes.
  • Organize and archive physical and digital documents to ensure easy retrieval.
  • Manage workflow distribution ensuring timely processing of documentation.
  • Coordinate with multiple departments to standardize documentation processes.
  • Ensure compliance with legal and organizational procedures for document handling.
  • Create and implement security protocols to safeguard sensitive documents.
  • Train staff in document control procedures and usage of document management software.
  • Review documents for accuracy, completeness, and compliance with regulatory standards.
  • Maintain logs of incoming and outgoing documents for accurate record-keeping.
  • Facilitate document audits or reviews by external and internal stakeholders.
  • Monitor and update the status of submitted documents and follow up as necessary.
  • Liaise with IT to troubleshoot issues related to document management systems.

Requirements

  • Proven experience as a Document Controller or similar administrative role.
  • Proficiency in document management software and Microsoft Office Suite.
  • Strong attention to detail and exceptional organizational skills.
  • Excellent written and verbal communication skills for clear documentation.
  • Ability to work independently and collaboratively in a team environment.
  • Experience in regulatory compliance related to documentation processes.
  • A high school diploma or equivalent; additional certification is a plus.
