Job Description

We are seeking a meticulous and organized Document Controller for our project 22N25. In this role, you will be responsible for managing and controlling the documentation processes and ensuring that all company documents are maintained securely and efficiently. You will work closely with other departments, ensuring that documentation is handled in compliance with relevant standards and regulations. The ideal candidate will have a strong eye for detail, excellent organizational skills, and a proactive approach to improving our documentation practices. Your contribution will be essential for the smooth and efficient execution of our projects by ensuring that all team members have easy access to current and accurate documents when needed.


Responsibilities

  • Manage and maintain all project documents and ensure their accuracy and accessibility.
  • Ensure compliance with the company’s documentation procedures and standards at all times.
  • Coordinate with different departments to collect, organize, and manage essential project documents.
  • Establish and maintain a document control system to track revisions and updates.
  • Train team members on document handling procedures and best practices as needed.
  • Maintain document confidentiality by following security protocols to protect sensitive information.
  • Prepare documentation reports for management and stakeholders to provide updates on project status.
  • Liaise with external partners and suppliers to ensure all required documents are obtained and stored.
  • Create templates and document forms to standardize documentation practices across the company.
  • Retrieve and archive documents as per retention schedules to meet legal and company policies.
  • Coordinate audits and inspections related to documentation control and compliance requirements.

Requirements

  • Bachelor’s degree in business administration, information management, or a related field.
  • Proven experience as a Document Controller or in a similar administrative role.
  • Familiarity with document management systems (DMS) and project management software.
  • Excellent organizational skills and the ability to manage multiple priorities effectively.
  • Strong attention to detail with the ability to spot errors easily and correct them.
  • Solid understanding of document control procedures and ISO standards.
  • Excellent communication skills to effectively liaise with team members and stakeholders.
