Job Description

A Document Controller is a vital member of an organization, responsible for managing, maintaining, and controlling documents and records within a company. This role ensures that information is accessible and organized while adhering to regulatory requirements and organizational policies. A Document Controller plays a crucial part in maintaining the efficiency and effectiveness of document management processes, safeguarding vital records, and ensuring that documents are easily retrievable. Responsibilities

  • Manage incoming and outgoing documents in both physical and digital formats.
  • Ensure the security and integrity of all documents and records maintained.
  • Develop and implement efficient document control processes and procedures.
  • Facilitate document distribution to the relevant stakeholders in timely manner.
  • Coordinate with various departments to ensure document accuracy and authenticity.
  • Conduct regular audits of documents and records to ensure compliance and integrity.
  • Maintain an organized and efficient document archive and retrieval system.
  • Assist in the preparation and review of documents for accuracy and compliance.
  • Provide training to staff on document management policies and procedures.
  • Generate and maintain records of all documentation activity within the organization.
  • Address inquiries regarding documentation processes and resolve any related issues.
  • Stay updated on best practices and technological advancements in document management.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or related field.
  • At least two years of experience in a similar document control role.
  • Strong understanding of document control processes and regulatory requirements.
  • Proficient with document management software and tools preferred by the industry.
  • Excellent organizational skills and attention to detail with a strong focus on accuracy.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to work independently as well as collaboratively within a team environment.
