Job Description

A Document Controller is crucial in managing and overseeing an organization's documentation processes. They ensure that all company documents are stored and managed efficiently and in compliance with regulatory and quality standards. This role involves organizing, updating, and retrieving vital documents to support operational activities. A Document Controller plays a significant role in maintaining the security and authenticity of data. They are responsible for monitoring the circulation of documents within the organization and ensuring that all personnel have access to the necessary materials to perform their duties effectively. This role requires a keen eye for detail, excellent organizational skills, and a strong understanding of document management software and systems.


Responsibilities

  • Manage and oversee all document control processes within the organization.
  • Ensure all company documents are archived and stored securely and efficiently.
  • Collaborate with different departments to manage and distribute documents as needed.
  • Maintain and update document control systems including databases and physical files.
  • Monitor and enforce compliance with document management policies and procedures.
  • Facilitate the flow of documentation throughout the organization for efficient operations.
  • Assist in training staff on proper document management practices and procedures.
  • Prepare and present document control reports to management on a regular basis.
  • Coordinate with external stakeholders to ensure document integrity and accessibility.
  • Review and validate documents for accuracy and compliance with regulatory standards.
  • Ensure timely distribution of critical documents to stakeholders as required.
  • Manage document revisions and ensure the distribution of current documents for use.

Requirements

  • Bachelor’s degree in library science, information management, or a related field.
  • Minimum of 3 years experience in document control or a similar role.
  • Strong knowledge of document management software and database systems.
  • Excellent organizational and time-management skills are necessary for success.
  • Attention to detail with a focus on accuracy and quality assurance.
  • Strong interpersonal and communication skills for team collaboration.
  • Ability to work independently and manage multiple priorities simultaneously.
