Job Description

As a Document Controller, you will play a crucial role in managing, organizing, and maintaining all business documents for a company. This role requires attention to detail and a strong sense of responsibility, as the accuracy and accessibility of documents are vital for the seamless operation of a business. You will be responsible for implementing document management systems and procedures, ensuring that all records are accurately recorded and easily retrievable. Your role will support various departments in meeting regulatory compliance and quality control standards. By providing efficient document control, you will contribute to the company's overall productivity and effectiveness. Furthermore, you’ll work closely with colleagues to ensure document integrity and security within the organization.


Responsibilities

  • Maintain accurate records of all business documents and ensure proper storage.
  • Implement and manage document control and management systems effectively.
  • Ensure compliance with company and industry standards for document management.
  • Coordinate document distribution to relevant parties as needed for operations.
  • Track document statuses and ensure timely updates and dissemination.
  • Perform regular audits to ensure accuracy and completeness of the documents.
  • Facilitate reviews and approvals of new documents and revisions efficiently.
  • Train staff on document control systems and best practices for accuracy.
  • Manage archiving of obsolete documents while adhering to retention policies.
  • Monitor access to documents and ensure data protection compliant with regulations.
  • Collaborate with IT team to ensure the security of electronic documents.
  • Resolve any issues related to document discrepancies swiftly and effectively.

Requirements

  • Bachelor’s degree in business administration or a related field preferred.
  • Proven experience in document control or a similar administrative role.
  • Strong proficiency in document management software and MS Office Suite.
  • Excellent organizational skills with keen attention to detail and accuracy.
  • Strong communication skills for effective training and coordination tasks.
  • Ability to manage multiple tasks and prioritize workload under tight deadlines.
  • In-depth understanding of regulatory compliance related to document control.
