Job Description

The role of Document Controller is crucial to the efficient operation of businesses that manage large volumes of data and documentation. Document Controllers are responsible for managing and controlling the flow of documents within an organization. They ensure that all employees have access to the appropriate documents and that documentations such as contracts, plans, and reports are up-to-date and stored in an organized manner. This position requires a keen attention to detail, superb organizational skills, and a clear understanding of document control systems and processes. As a Document Controller, one must work closely with various departments to ensure compliant documentation practices across all projects, facilitating ease of access and security.


Responsibilities

  • Maintain the integrity and organization of company documentation systems accurately.
  • Coordinate with project teams to ensure timely and accurate document distribution.
  • Develop and implement document control procedures and systems as per company standards.
  • Regularly audit document databases to ensure compliance with regulatory standards.
  • Facilitate the retrieval and archiving of both physical and digital documents.
  • Track the status of documents and resolve any inconsistencies or discrepancies.
  • Liaise with team leaders to define document control needs and improve processes.
  • Manage document lifecycle from creation to storage and retrieval, ensuring security.
  • Ensure all document control processes meet ISO and company standards consistently.
  • Provide document management training and guidance to staff where necessary.
  • Assist in the preparation of reports and documentation for audits and meetings.
  • Ensure the confidentiality and security of sensitive documents and information.

Requirements

  • Bachelor’s degree or equivalent experience in document control or related field.
  • Proficiency in document management software and Microsoft Office Suite is required.
  • Strong organizational skills with an aptitude for attention to detail.
  • Experience in a compliance-driven environment with knowledge of ISO standards.
  • Ability to communicate effectively with different departments and stakeholders.
  • Proven ability to work independently and manage multiple tasks simultaneously.
  • Prior experience in a document control role within a similar industry is preferred.
