Job Description

We are seeking a highly organized and detail-oriented Document Controller to join our dynamic team. The Document Controller will play a crucial role in managing, organizing, and maintaining all documentation and records for our organization. The ideal candidate will have a keen eye for detail and a strong understanding of document management systems and procedures. This position requires interacting with various departments to ensure all documents are up-to-date, accessible, and accurately maintained. The role is pivotal in ensuring compliance with internal and external regulations while supporting the efficient operation of our document management processes. Responsibilities

  • Maintain and manage all company documents to ensure accuracy and accessibility.
  • Develop, implement, and enforce document control policies and procedures.
  • Coordinate with departments to ensure documents are current and adhere to regulations.
  • Implement an efficient document circulation and retrieval system for quick access.
  • Perform regular audits of document control processes to ensure efficiency and compliance.
  • Provide training to staff on document control processes and systems as necessary.
  • Ensure confidentiality and security of sensitive organizational documents.
  • Assist with the preparation and dissemination of reports and other documentation.
  • Organize and categorize documents for easy access and reference by team members.
  • Collaborate with IT to ensure document management software is functioning optimally.
  • Track and monitor the status of document review and approval processes.
  • Facilitate the archiving and destruction of documents following retention schedules.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or related field.
  • Proven experience working as a Document Controller or in a similar role.
  • Strong understanding of document management software and compliance regulations.
  • Excellent organizational skills with a high level of attention to detail.
  • Proficient in Microsoft Office Suite and document management systems.
  • Strong verbal and written communication skills for effective collaboration.
  • Capability to handle multiple tasks and manage priorities in a fast-paced environment.
