Job Description

The Document Controller position, reference 15N25, is critical in ensuring a seamless flow of information within an organization. This role requires meticulous attention to detail and strong organizational skills to maintain and control all company documentation. As a Document Controller, you will be responsible for setting up, managing, and maintaining a comprehensive filing system for all document flows, both electronic and hard copies. You will work closely with various departments to ensure documents are kept up-to-date and accessible for authorized personnel. Your role will be pivotal in maintaining document integrity and confidentiality, ensuring compliance with industry standards and legal obligations. By standardizing document filing systems and managing templates, you help the organization run more efficiently, fostering a culture of precision and accountability.


Responsibilities

  • Manage the company’s document control system to ensure efficient storage and retrieval.
  • Ensure all documents are filed correctly and comply with organizational standards.
  • Regularly review and update existing document templates and procedures.
  • Coordinate with various departments to ensure proper documentation is maintained.
  • Track all documents, making sure they are accessible to authorized personnel.
  • Conduct regular audits to ensure the document control process is followed.
  • Maintain confidentiality and security of sensitive documentation at all times.
  • Provide training and support to staff regarding document management procedures.
  • Ensure that obsolete documents are removed from circulation and archived correctly.
  • Assist with document retrieval and delivery during audits and compliance checks.
  • Develop and maintain document management databases for improved data handling.
  • Collaborate with IT to implement technology solutions for document control.

Requirements

  • Bachelor’s degree or equivalent experience in document management or related fields.
  • Proficiency in document control software and Microsoft Office Suite applications.
  • Strong organizational skills and excellent attention to detail are essential.
  • Experience with compliance and regulatory standards in document handling.
  • Proven ability to manage multiple tasks and meet tight deadlines effectively.
  • Strong communication skills, both written and verbal, for clear document instructions.
  • Ability to work independently and collaboratively within a team environment.
