Job Description

The Document Controller is a pivotal role in ensuring the effective management and organization of all documentation related to company projects and operations. This position requires exceptional organizational skills, attention to detail, and a deep understanding of document management systems. As a Document Controller, you will be responsible for maintaining an efficient documentation process, which includes controlling the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents. This role is crucial for the seamless collaboration within teams and with clients and stakeholders, providing consistent and reliable access to essential project documentation. The ideal candidate will have a proactive attitude, excellent communication skills, and the ability to handle multiple tasks with precision and within strict deadlines.


Responsibilities

  • Manage and oversee all project documents for accuracy and compliance with standards.
  • Ensure that all documents are easily accessible and properly stored electronically.
  • Coordinate with project teams to ensure timely and efficient document submission and approval.
  • Maintain document control processes and procedures, reviewing best practices regularly.
  • Develop and maintain a comprehensive electronic and hard-copy filing system.
  • Audit document records and systems to ensure accuracy and comprehensiveness.
  • Prepare operational documents in compliance with company standards and guidelines.
  • Provide training to staff on documentation processes and the use of document control software.
  • Interface with other departments to streamline document management and retrieval.
  • Generate reports on document status, progress, and challenges, recommending improvements.
  • Safeguard confidential information and ensure sensitive documents are controlled securely.
  • Act as point of contact for document management-related queries and issues.

Requirements

  • Proven experience in document control or management is essential for this role.
  • Strong organizational skills and the ability to manage multiple priorities.
  • Proficiency in using document management software and Microsoft Office Suite.
  • Excellent communication skills, both written and verbal, for effective collaboration.
