Job Description

The Document Controller is entrusted with maintaining, organizing, and managing the company's documents and records across various projects and departments. They play a crucial role in ensuring that all corporate, regulatory, and internal policies are adhered to in the document management process. This involves establishing a system that allows for easy retrieval and archiving, while also ensuring confidentiality and security of sensitive information. A Document Controller is also responsible for the distribution and tracking of documents, ensuring that they reach the right stakeholders in a timely manner. Proficiency in document management software and an eye for detail are essential traits for someone in this role, as they must regularly review, approve, and verify documents to meet project requirements and compliance standards.


Responsibilities

  • Maintain a comprehensive system for document management and retrieval.
  • Ensure all documents are stored securely and backed up regularly.
  • Control the distribution of project-related documents to relevant stakeholders.
  • Monitor document flow and manage the document lifecycle, from creation to archival.
  • Regularly review and ensure compliance of documents with organizational standards.
  • Coordinate with project teams to gather, compile, and submit documentation.
  • Implement and maintain document management systems and software tools.
  • Train and support staff in the document control process as needed.
  • Ensure document accessibility for authorized personnel while maintaining confidentiality.
  • Prepare and oversee the documentation for quality audits and compliance checks.
  • Track changes to documents and ensure the use of the latest document versions.
  • Facilitate the efficient retrieval and distribution of documents for team members.

Requirements

  • Bachelor's degree in a related field or substantial relevant experience.
  • Proficiency in document management software and related tools is essential.
  • Minimum of 2 years experience in document control or management roles.
  • Exceptional organizational skills and attention to detail are required.
  • Ability to communicate effectively with team members and stakeholders.
  • Understanding of regulatory compliance and quality management systems.
  • Proven ability to handle confidential information with discretion and integrity.
