Job Description

The Document Controller 08M26 is an integral role responsible for managing the documentation processes within an organization. This position involves ensuring the integrity, accessibility, and organization of documents throughout their lifecycle. The ideal candidate will have a keen eye for detail, experience in document management systems, and a commitment to maintaining the confidentiality and security of documents. As a Document Controller, you will collaborate with various departments to streamline documentation processes, ensure compliance with industry standards, and support project teams with accurate and timely documentation. This role requires strong organizational skills, proficiency in document management tools, and excellent communication abilities to effectively coordinate with stakeholders across the organization.


Responsibilities

  • Maintain and manage all documents for easy accessibility within the organization.
  • Develop and implement efficient documentation processes and systems.
  • Ensure document control procedures are in compliance with industry standards.
  • Coordinate with various departments to ensure document accuracy and completeness.
  • Monitor document workflows for adherence to specified timelines and policies.
  • Train and support staff on document management system usage and practices.
  • Audit documents and systems regularly to maintain document integrity and security.
  • Develop and maintain a comprehensive document filing system for quick retrieval.
  • Handle requests for document corrections and ensure timely updates.
  • Manage the archiving and disposal of documents in accordance with policies.
  • Review and update documentation procedures and guidelines as necessary.
  • Collaborate with IT to integrate and enhance document management systems.

Requirements

  • Bachelor’s degree in business administration or a related field preferred.
  • Proven experience as a Document Controller or in similar documentation roles.
  • Proficiency with document management software and systems is essential.
  • Strong organizational and multitasking skills with close attention to detail.
  • Excellent communication skills to effectively interact with various stakeholders.
  • Ability to maintain confidentiality and handle sensitive information safely.
  • Familiarity with industry-specific standards and compliance requirements.
  • Problem-solving skills to address and resolve documentation challenges effectively.
