Job Description

The Document Controller 05N25 role is a vital position within our organization, ensuring that all documents are stored, managed, and shared efficiently and securely. This position is responsible for maintaining a comprehensive and organized system for all company documents, including technical drawings, contracts, reports, and more. The right candidate will have a keen eye for detail, excellent organizational skills, and the ability to maintain confidentiality and accuracy at all times. The Document Controller will work closely with various departments, ensuring compliance with document control policies and procedures while supporting the smooth flow of information across the organization. This role is crucial to maintain the integrity and traceability of all documents, contributing significantly to operational efficiency and project success.


Responsibilities

  • Establish and maintain a comprehensive document control system, ensuring all documents are accessible and secure.
  • Coordinate the flow of documents between departments, ensuring timely and efficient communication.
  • Ensure all documents adhere to company policies and regulatory requirements for compliance purposes.
  • Receive, review, and distribute incoming documents to appropriate personnel and departments.
  • Maintain up-to-date records of document versions, changes, and revisions in a structured manner.
  • Assist in the development and implementation of document control procedures and policies.
  • Provide training and support to team members on the document control system and processes.
  • Conduct regular audits to ensure compliance with document control protocols and standards.
  • Protect the confidentiality and integrity of sensitive information contained within company documents.
  • Respond promptly to document retrieval requests from staff and stakeholders with the appropriate access level.
  • Monitor the document lifecycle, including categorization, archiving, and disposal, as necessary.
  • Collaborate with project managers to ensure document control processes meet project timelines and objectives.

Requirements

  • Bachelor’s degree in business administration, library science, or a related field preferred.
  • Proven experience as a Document Controller or in a similar administrative role.
  • Proficiency in document management software and Microsoft Office Suite, including Word and Excel.
  • Strong organizational and multitasking skills, with a keen attention to detail.
  • Excellent communication skills, both written and verbal, to interact with diverse teams.
  • Ability to handle sensitive documents with a high degree of confidentiality and professionalism.
  • Familiarity with electronic document management systems and related practices beneficial.
