Job Description

A Document Controller is a vital role within any organization that deals with a significant amount of paperwork and data management. This position involves overseeing and maintaining all documents, ensuring proper organization, and handling both incoming and outgoing documentation in a systematic way. The Document Controller ensures that accurate records are maintained and that these records are easily accessible to relevant parties. They play a critical role in the success of projects by ensuring that documentation is accurate, up-to-date, and properly controlled. Responsibilities

  • Develop and implement processes for efficient document management and storage.
  • Ensure accurate and timely filing of both digital and physical documents.
  • Maintain up-to-date records and data entries according to regulatory standards.
  • Coordinate document distribution and ensure adherence to document control procedures.
  • Collaborate with project teams to manage document change requests efficiently.
  • Maintain a document management tracking system for prompt document retrieval.
  • Regularly audit document control processes for accuracy and compliance assurance.
  • Supervise the document lifecycle from creation to archiving or destruction.
  • Provide support and guidance to staff regarding document management policies.
  • Ensure security and confidentiality of all sensitive documents and records.
  • Conduct training sessions on document management systems for team adherence.
  • Prepare reports and documentation summaries for management and stakeholders.

Requirements

  • Bachelor’s degree in Information Management, Business Administration, or a related field.
  • Proven experience as a Document Controller or similar administrative role.
  • Familiarity with document management software and proficiency in Microsoft Office.
  • Excellent organizational skills and attention to detail are required.
  • Strong communication skills, both written and verbal, for effective collaboration.
  • Ability to handle multiple priorities and work under tight deadlines effectively.
  • Knowledge of compliance standards and regulatory requirements for document control.
  • Experience in training or guiding team members on document-related protocols.
