Job Description

A Document Controller plays a pivotal role in any organization by managing, organizing, and safeguarding business documents to ensure accuracy, quality, and integrity. This position is essential for maintaining the flow of documentation both internally and externally. As a Document Controller, you will be entrusted with ensuring compliance with established company policies and procedures regarding documentation and its management. You will work closely with various departments to control sensitive documents, review their content, and ensure they are stored appropriately, using digital documentation systems. This role involves a keen eye for detail, exceptional organizational skills, and a strong understanding of document management processes. You should be adept at handling pressure, adapting to changes quickly, and efficiently managing documentation workflows to support organizational objectives and operational needs.


Responsibilities

  • Manage and control all company documents and files to ensure efficient retrieval.
  • Implement and adhere to document control procedures and policies consistently.
  • Ensure document accuracy and integrity before disseminating to relevant personnel.
  • Organize, file, and archive documentation systematically for easy future reference.
  • Facilitate the document approval process to maintain compliance with standards.
  • Manage access permissions and distribution of documents to authorized personnel.
  • Coordinate with departments to update and maintain documentation as required.
  • Monitor document compliance with company archives and retrieval systems.
  • Train staff on document control processes and digital documentation systems.
  • Generate reports and maintain a log of all documentation activities for management.
  • Conduct audits on documents and workflow systems periodically for accuracy.
  • Resolve and troubleshoot document discrepancies and workflow issues promptly.

Requirements

  • Bachelor's degree in Business Administration or related field is preferred.
  • Proven experience as a Document Controller or in a similar role required.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficient with Microsoft Office Suite and other document management software.
  • Excellent attention to detail and high levels of accuracy in documentation.
  • Effective communication skills to liaise with different departments as necessary.
  • Ability to maintain confidentiality and handle sensitive documents appropriately.
