We are seeking a highly organised, proactive and detail-oriented Data Executive to join our school team, with primary responsibility for student attendance, punctuality and attendance data management across the school.

The successful candidate will work closely with students, parents, teachers, data teams and senior leaders to ensure attendance records are accurate, concerns are followed up promptly and attendance trends are effectively monitored.

Key Responsibilities

  • Monitor and maintain accurate daily student attendance and punctuality records across the school.
  • Ensure morning and lesson registers are completed accurately and within required timelines.
  • Follow up promptly on missing registers, unexplained absences and late arrivals.
  • Contact parents and guardians regarding unexplained student absences where required.
  • Record and update absence reasons and appropriate attendance codes within the school MIS.
  • Monitor students arriving late or leaving school early and maintain accurate records.
  • Identify patterns of persistent absence, repeated lateness and declining attendance and escalate concerns to relevant pastoral and senior leaders.
  • Produce daily, weekly, monthly, termly and annual attendance reports.
  • Analyse attendance data by student, year group, phase, demographic group and other relevant categories.
  • Support Heads of Year, pastoral leaders and senior leadership with attendance analysis and intervention tracking.
  • Maintain accurate records of attendance-related communication and actions taken.
  • Assist with attendance letters, notifications and parent communications.
  • Support meetings with parents regarding attendance and punctuality concerns when required.
  • Work closely with safeguarding and pastoral teams where attendance concerns may indicate wider student welfare issues.
  • Conduct regular data-quality checks to ensure attendance records are complete and accurate.
  • Support the preparation of attendance dashboards, KPIs and leadership reports.
  • Prepare attendance information required for school reviews, inspections, audits and regulatory reporting.
  • Support positive attendance and punctuality initiatives across the school.
  • Maintain strict confidentiality when handling student and family information.

Skills Description

The successful candidate will ideally have:

  • Previous experience in a school data, attendance, administration or pastoral role.
  • Experience working within a British curriculum school is desirable.
  • A good understanding of school attendance procedures and safeguarding responsibilities.
  • Experience using a school MIS such as SIMS, iSAMS, PowerSchool or similar.
  • Strong Microsoft Excel and reporting skills.
  • Confidence analysing data and identifying attendance trends.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Confidence communicating professionally with parents, students and staff.
  • Excellent organisational and time-management skills.
  • Ability to manage competing priorities in a busy school environment.
  • A proactive, solution-focused approach.
  • A strong commitment to safeguarding, confidentiality and student welfare.
