Job Description

The Administration Executive is a vital position within any organization, tasked with overseeing and managing the myriad of day-to-day administrative tasks that ensure smooth operations. This role involves a blend of strategic thinking, management skills, and hands-on execution. The Administration Executive acts as the point of contact for all administrative functions, including facilities management, office administration, and support for various departments to enhance efficiency and productivity. They are responsible for implementing process improvements, ensuring policy compliance, and supporting the company's mission and goals. This position requires a proactive individual who is highly organized, detail-oriented, and exhibits strong leadership and communication skills to effectively coordinate and streamline administrative support across the organization.


Responsibilities

  • Oversee daily operations of the office to ensure a smooth workflow.
  • Coordinate administrative functions to support business objectives efficiently.
  • Manage office supplies and inventory to avoid discrepancies and shortages.
  • Implement and monitor company policies to ensure compliance at all levels.
  • Maintain and update organizational records systems for accuracy and accessibility.
  • Assist in scheduling meetings, appointments, and coordinating travel arrangements.
  • Prepare and distribute correspondence such as memos, emails, and reports.
  • Support HR tasks such as onboarding new hires and managing employee records.
  • Coordinate with IT for infrastructure and equipment maintenance solutions.
  • Support budget preparation, tracking, and analysis for effective fiscal management.
  • Serve as a liaison between the company and external parties, such as vendors.
  • Plan and organize company events, meetings, and workshops effectively.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum of three years of experience in an administrative or executive role.
  • Excellent verbal and written communication skills are essential to this role.
  • Highly organized with strong multitasking abilities and keen attention to detail.
  • Proficient in Microsoft Office Suite and other related business software.
  • Strong problem-solving skills and ability to work under pressure and deadlines.
  • Proactive approach with the capability to handle confidential and sensitive information.
