Job Description

As Cluster Sales Administrator, you will provide essential support to the Sales team across Banyan Tree Dubai & Delano Dubai, ensuring smooth operations, accurate reporting, and seamless communication with clients and internal stakeholders. This role is key to enabling the sales team to focus on driving revenue and delivering exceptional luxury experiences to leisure and corporate guests.

Key Responsibilities

Sales Support & Administration

  • Assist the Cluster Sales team in daily administrative tasks, including managing calendars, client correspondence, and travel arrangements.
  • Prepare and maintain sales reports, forecasts, and performance dashboards for both properties.
  • Support the creation and distribution of sales proposals, contracts, and marketing materials.

CRM & Database Management

  • Maintain and update the CRM system, ensuring client and market data is accurate and up-to-date.
  • Track leads, follow-ups, and client interactions, providing timely reminders and alerts for the sales team.

Client Communication

  • Act as a first point of contact for client inquiries, responding promptly and professionally.
  • Coordinate with internal teams to ensure client requests, bookings, and special arrangements are handled efficiently.

Event & Campaign Support

  • Assist in planning and executing sales campaigns, promotions, and client events.
  • Coordinate logistics for client visits, site inspections, and meetings.

Reporting & Analysis

  • Compile sales data and performance metrics for review by the Cluster Sales Director.
  • Identify trends and assist in preparing reports that support strategic decision-making.

Cross-Functional Collaboration

  • Work closely with Marketing, Operations, and Front Office teams to support sales initiatives and ensure a seamless guest experience.
  • Coordinate with Finance to ensure accurate invoicing and follow-up on outstanding payments.

Qualifications

  • Minimum 2 years’ experience in a sales support, administrative, or reservations role within luxury hotels or resorts.
  • Familiarity with the hospitality CRM systems and Microsoft Office Suite (Excel, PowerPoint, Outlook).
  • Strong organisational skills with an eye for detail and accuracy.
  • Excellent written and verbal communication skills in English; additional languages (German, French, or Arabic) are a plus.
  • Ability to multitask, prioritise, and work effectively under pressure in a fast-paced environment.
  • Professional, proactive, and service-oriented mindset with a passion for luxury hospitality.
  • Team player with a positive and collaborative approach.
  • High level of discretion and confidentiality.
  • Energetic, proactive, and solution-focused.
