KEY RESPONSIBILITY

  • CAFM System Operation & Management
  • Operate and maintain the CAFM platform (e.g., MRI Evolution or similar) ensuring it aligns with the organization's needs and standards.
  • Input, update, and manage asset registers, PPM plans, maintenance schedules, and projects.
  • Track and ensure work orders, preventive maintenance tasks, and reactive and corrective maintenance are completed.
  • Generate and distribute scheduled and ad-hoc reports from the CAFM system to management and other stakeholders.
  • User & Helpdesk Support
  • Serve as the first point of contact for internal CAFM-related helpdesk queries.
  • Assign work orders to the appropriate resource based on skill, location, & availability.
  • Log, track, and resolve user issues and service requests related to CAFM and facility operations.
  • Escalate complex technical issues to the appropriate IT or CAFM Specialist teams as needed.
  • Provide first-line CAFM system support to users across the organization.
  • Deliver training sessions or create user guides to enhance system understanding and user adoption.
  • Follow up on assigned tasks to ensure timely execution and status updates in CAFM.
  • Coordinate emergency or high-priority work orders and ensure prompt resolution.
  • Maintain clear communication with all stakeholders during the lifecycle of workorder
  • Support for Facility Management Operations
  • Assist FM team with work order lifecycle management, resource allocation, and operational planning.
  • Monitor and report on Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) through CAFM reporting.
  • Support the onboarding of new properties, assets, PPM plans, and maintenance programs into the system.
  • Data Integrity & Quality Assurance
  • Regularly audit and validate CAFM system data to ensure accuracy, consistency, and completeness.
  • Work closely with technical teams, service providers, and facility coordinators to ensure real-time updates and service tracking.
  • Proactively identify data discrepancies and recommend corrective actions to uphold operational excellence.
  • Monitor system performance and escalate technical issues.
  • Compliance and Documentation
  • Ensure all CAFM records meet organizational and regulatory compliance standards.
  • Keep accurate and updated documentation on system configurations, workflows, assets, and maintenance histories.
  • Continuous Improvement and Kaizen Initiatives
  • Actively participate in regular reviews of CAFM or FM processes with FM team.
  • Identify inefficiencies, propose process enhancements, and support the implementation of improvements.

Qualifications, Experience And Skills

  • Diploma or bachelor’s degree in FM, Engineering, IT, or a related field.
  • Minimum 3 years of relevant experience in Proven experience working in an CAFM Operator role in Facility Management industry
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • CAFM software like MIMS, MAXIMO, ORACLE, MRI/FSI
