The role of Assistant Project Manager is to provide support to Real Estate Services (RES) Operational Management (OM) team across all their areas of responsibility. Operational Management delivers and contributes to policies, processes, procedures, and tools for their implementation and management in RES. The OM Team will drive continuous improvement across the RES structure in areas such as Change Execution, Financial Management and People. The role will also provide administrative support to Regional Real Estate Services team and UAE Real Estate Services operations team.
Duties & Responsibilities
Administrative Support
Perform day-to-day admin support to the assigned Regional RES OpCo members.
Scheduling of appointments, coordination of meetings, arranging travel logistics and actively managing calendars of assigned leads.
Prepare and submit requisite travel and expenses reports in a timely manner.
Effectively manage information risk and any exceptions to the Group standards.
Perform ad-hoc assignments as required, productively managing a substantial workload without sacrificing quality.
Support to UAE Real Estate Services Operations
Responsible for Utility and Supplier payment via the designated portals (e.g. DEWA) including coordinating HSBC accounts.
Responsible for tracking utility consumption and cost for all locations of HSBC UAE while coordinating with third party supplier team for sustainability reporting.
Support successful delivery of RES Projects by managing Purchase Orders (high volume) daily ensuring raising and receipting and tracking with very high accuracy on a timely basis which coordinating with Procurement.
Responsible for supporting RES Operations in coordinating with multiple stakeholders when delivering Projects by meeting coordination, meeting minutes and organization.
Responsible for managing access for all the RES vendors within HSBC UAE.
Responsible for access request for all project related activities through the various internal / external portals.
Resonsible for managing annual payment requests with Procurement / Accounts Payable where applicable.
Experience & Qualifications
Graduation degree is REQUIRED– to secure a UAE Visa and Work Permit.
Excellent verbal and written communicator and presenter, creative thinker and team player.
Excellent project management and organizational skills.
Basic accounting skills.
Experience coordinating with internal stakeholders and external partners in ensuring continued service delivery.
Experience communicating with Senior Management confidently.
