The Inbound Fulfillment Assistant Manager oversees the inbound operations team within the Fulfillment department, ensuring all incoming items from diamond vendors, jewelers, external offices, and internal departments are received, sorted, tracked, and routed accurately through the operational workflow. This role supports the Fulfillment Manager in supervising the team, maintaining operational accuracy, improving processes, and ensuring the efficient and timely movement of inventory across departments. The position requires strong collaboration with Supply Chain, Logistics, Quality Control, and outbound Fulfillment teams to ensure items are processed through the correct channels, minimizing delays and supporting overall customer satisfaction in a fast-paced, high-value operational environment.
Responsibilities:
- Oversee daily inbound operations, ensuring all items from vendors, jewelers, and internal partners are received, verified, and processed accurately and efficiently
- Maintain inventory accuracy by monitoring and controlling the movement of goods entering and exiting the department
- Ensure proper routing of items to Quality Control, Fulfillment, Logistics, and Supply Chain, and other applicable departments
- Monitor inbound workflow to ensure diamond and jewelry orders are logged, processed, and transferred through QC and supplier channels in a timely manner
- Ensure proper documentation and tracking of diamond certificates, invoices, and inbound records
- Support scanning, digitalization, and record retention of operational and accounting documentation
- Track high-value orders and delayed orders to ensure expedited handling and efficient workflow progression
- Identify and escalate receiving discrepancies, order variances, and packing issues to the appropriate teams
- Partner with the Outbound Fulfillment team to ensure smooth and timely handoff of orders for packing and shipping
- Lead, coach, and develop team members to drive performance, accountability, and operational accuracy
- Monitor workflow performance and suggest improvements to strengthen inbound processes
- Promote cross‑training initiatives to strengthen team knowledge of the end-to-end fulfillment process
- Support the Fulfillment Manager in driving daily operations, team performance, and overall departmental productivity
Skills and Abilities:
- Proficiency in Microsoft Office, including intermediate Excel skills (data tracking, basic formulas, and operational reporting)
- Strong operational problem-solving skills with the ability to identify issues, escalate appropriately, and implement practical solutions
- Proven ability to lead, coach, and develop team members in a fast-paced operational environment
- Strong organizational skills and attention to detail, with a focus on accuracy and process adherence
- Ability to manage multiple priorities and adjust quickly to changing operational needs
- Effective communication skills with the ability to collaborate cross-functionally across Supply Chain, Logistics, Quality Control, and Fulfillment teams
- Demonstrated ownership and accountability in driving day-to-day operations and team performance
- Hands-on approach with the ability to support floor operations as needed to ensure workflow efficiency
- Continuous improvement mindset with the ability to identify and support process enhancements within inbound operations
Requirements
- Associate or bachelors degree preferred in Supply Chain, Operations, Business Administration, or related field
- 2-4+ years of experience in fulfillment center operations, warehouse operations, logistics, or supply chain environments
- Demonstrated experience leading or supporting a team in an operational environment (e.g., shift lead, team lead, or supervisor responsibilities)
- Experience working in high‑volume operational environments with strong accuracy requirements

Annual base pay: $65,000 - $75,000. Final pay rate shall be determined and is based on experience and qualifications.
