Job Description

The Assistant HR Officer plays a vital role in ensuring smooth HR operations within an organization. This position supports the HR department by performing several administrative tasks and services to aid the efficient operations of the human resource functions. The Assistant HR Officer is responsible for managing employee records, assisting in recruitment, preparing payroll, coordinating employee training sessions, and ensuring compliance with employment laws. They act as a liaison between HR management and employees, facilitating communication and nurturing a positive work environment. A successful candidate will have excellent organizational skills, be detail-oriented, and possess a strong knowledge of HR procedures. The role requires balancing various tasks and maintaining confidentiality and integrity of employee information.


Responsibilities

  • Assist in the recruitment process, including posting job ads and reviewing resumes.
  • Coordinating interview schedules and facilitating the interview process efficiently.
  • Maintain and update employee records with accurate information regarding employment changes.
  • Assist with payroll preparation by providing relevant employee information and documentation.
  • Ensure compliance with labor regulations and assist in implementing HR policies.
  • Organize and conduct new employee orientations to foster a positive onboarding experience.
  • Prepare HR documents, like employment contracts, and manage documentation filing systems.
  • Assist in developing and implementing HR strategies and initiatives aligned with business goals.
  • Help manage employee benefit programs and address related inquiries and issues.
  • Facilitate internal communication by managing information requests and communicating relevant updates.
  • Coordinate and ensure successful execution of employee training and development programs.
  • Support HR management in resolving employee grievances and handling disciplinary procedures.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Previous experience in a similar HR role or administrative assistant position.
  • Strong understanding of labor laws and disciplinary procedures within HR contexts.
  • Exceptional organizational skills with keen attention to detail and accuracy.
  • Proficient in using HRIS software and Microsoft Office Suite applications.
  • Excellent verbal and written communication skills for effective collaboration.
  • Ability to handle confidential information with discretion and professionalism.
