Job Description

The Assistant Front Office Manager plays a pivotal role in the smooth operation of a hotel or hospitality establishment's front office. They are responsible for assisting the Front Office Manager in the coordination and direction of the activities and services of the front desk, ensuring a high level of customer service is maintained at all times. This role requires a strong ability to multitask, excellent communication skills, and a customer-oriented mindset. The Assistant Front Office Manager supports the team in solving guest complaints, oversees staff performance, and coordinates reservations. They also contribute to creating a welcoming environment that upholds the hotel's brand standards and maximizes guest satisfaction and loyalty.


Responsibilities

  • Assist in managing the day-to-day operations of the front office department efficiently.
  • Ensure guest service standards are consistently met and exceeded by all staff members.
  • Oversee the check-in and check-out processes to ensure smooth service flow.
  • Manage and rectify guest complaints, ensuring customer satisfaction is maintained.
  • Contribute to the development and implementation of front office processes and policies.
  • Support the training of front office staff to enhance guest interaction abilities.
  • Coordinate with housekeeping and maintenance to ensure room readiness and cleanliness.
  • Monitor and manage front desk budgets, ensuring cost-effectiveness and efficiency.
  • Assist in developing marketing strategies to improve occupancy and hotel visibility.
  • Prepare and present daily, weekly, and monthly reports on front office operations.
  • Ensure the front desk is organized, efficient, and equipped with necessary materials.
  • Foster a positive work environment to promote staff satisfaction and performance.

Requirements

  • Bachelor’s degree in Hospitality Management or relevant field is preferred.
  • Minimum of two years of experience in a front office supervisory role.
  • Proficient in hotel management software and front desk operations tools.
  • Strong communication and organizational skills with attention to detail.
  • Ability to handle stressful situations and resolve conflicts professionally.
  • Excellent leadership and team management skills fostering staff development.
  • Flexibility to work various shifts, including nights, weekends, and holidays.
