About The Role
As Asset Coordinator, you own the life cycle of every asset in our fleet: each vehicle from registration and insurance through every maintenance visit to its return to service, plus charging equipment, tools and depot inventory. You coordinate maintenance schedules, monitor compliance timelines, manage documentation, and work with vendors and regulatory bodies so every vehicle is safe, legal and ready to operate.
This is a hands-on coordination role. You will be in the detail every day, keeping systems current, documentation audit-ready, and the right people informed when something needs attention. You work independently, make the day-to-day asset decisions set out below, and make sure the Fleet Operations Manager has accurate, complete information for the bigger ones.
What You’ll Be Doing
Asset and Fleet Tracking
- Maintain accurate, up-to-date records for all fleet assets, including vehicles, charging equipment, tools, depot inventory, and insurance policies
- Manage each vehicle’s life cycle: onboarding, registration, insurance, scheduled and unscheduled maintenance, return to service, and disposal
- Coordinate all inspection, maintenance, and repair activities with workshops and vendors to ensure timely resolution and minimal vehicle downtime
- Develop and run preventive maintenance schedules to improve fleet reliability and operational readiness
- Keep the asset register current at all times and reconcile discrepancies as soon as they appear
- Collect, verify, and upload data related to Salik charges, traffic fines, charging and energy costs, and maintenance invoices, and liaise with Finance for accurate cost allocation
- Support other fleet-related initiatives and tasks as directed by the Fleet Operations Manager
Permit and Licence Coordination
- Track the status of all RTA permits, operating licences, and testing authorisations across the fleet
- Ensure full compliance with RTA regulations by managing timely vehicle registration, renewals, and related government requirements
- Flag upcoming deadlines well in advance so nothing lapses and renewals are never urgent
- Make sure no vehicle operates with an expired registration, insurance policy or permit, and take any such vehicle out of service until it is renewed
- Coordinate vehicle-related submissions to the RTA and other UAE regulatory bodies.
- Support the Fleet Operations Manager in preparing materials for regulatory meetings and inspections
Compliance Documentation
- Maintain complete, organised documentation across all compliance and asset management programmes
- Ensure all records, including vehicle documents, maintenance logs, registration files, and incident reports, are structured, accessible, and audit-ready at all times.
Vendor and Partner Coordination
- Use a practical understanding of fleet operations to communicate effectively with workshops and ensure quality and cost control
- Maintain up-to-date contact records for all vendors and external partners
- Track vendor performance and flag any service quality issues to the Fleet Operations Manager
- Process procurement requests for non-vehicle assets and follow up on delivery and invoicing
What You Will Need For This Position
- 3 to 5 years of experience in fleet management, asset coordination, or vehicle operations, preferably in the UAE
- Valid UAE driving licence, with at least 1 year of driving experience in the UAE
- Strong understanding of RTA processes and UAE vehicle compliance requirements
- Good working knowledge of vehicle maintenance, inspections, and repair coordination
- Experience maintaining accurate records and working with asset management systems, databases, and tracking tools
- Proficient in Microsoft Excel and comfortable working with data across multiple systems
- Strong attention to detail and ability to manage multiple deadlines without things slipping
- Good written and verbal communication skills in English; Arabic is a strong advantage
- Willingness to work flexible hours including weekends or outside standard hours to support urgent fleet requirements
Education
- Bachelor's degree in Business, Operations, Supply Chain, or a related field, or equivalent experience
- Professional certifications in asset management, fleet operations, or compliance administration are a plus

- Every permit, licence, and asset record is current and accurate at all times
- Fleet inspections and documentation are completed to plan with no overdue items
- Maintenance activities are coordinated on schedule with minimal vehicle downtime
- No deadlines missed and renewals are flagged and actioned well before they become urgent
- Documentation is audit-ready on any given day without needing to scramble
- The Fleet Operations Manager and safety team have accurate information when they need it.
