Rugby School Dubai is seeking to appoint a professional, personable and highly organised Admissions Officer to join our growing school. This pivotal role will deliver a seamless admissions journey from initial enquiry through to enrolment, providing prospective families with an exceptional level of service at every stage.

The successful candidate will be a key point of contact for families, building strong relationships, managing applications efficiently and actively supporting the School’s ambitious enrolment targets.

Responsibilities

Admissions, Conversion & Enrolment

• Manage the full admissions journey from initial enquiry through to successful enrolment and onboarding
• Act as a trusted point of contact for prospective families, providing informed and personalised guidance on the School’s curriculum, ethos and wider offering
• Proactively manage the admissions pipeline, ensuring enquiries and applications are progressed promptly
• Support the achievement of individual and whole-school enrolment targets, with a clear focus on enquiry-to-application and application-to-enrolment conversion
• Identify barriers to enrolment and work with relevant teams to resolve them quickly
• Coordinate assessments, interviews, school tours, taster sessions and offer processes
• Maintain regular contact with families throughout the decision-making process, including effective follow-up of outstanding applications and offers
• Support re-enrolment and retention activity, identifying families who may require additional engagement
  
  
  

Family Experience & Relationship Management

• Deliver an exceptional and highly personalised experience that reflects the standards and values of Rugby School Dubai
• Build strong, lasting relationships with prospective and current families
• Conduct engaging school tours that clearly communicate the School’s strengths and distinctive educational offering
• Manage sensitive or complex family enquiries professionally, escalating concerns where appropriate
• Gather and share feedback from prospective families to improve the admissions journey and wider parent experience
• Support new families with a smooth transition into the School and the wider Rugby community
  
  
  

Admissions Events & Community Engagement

• Plan and support open days, assessment days, information sessions and other recruitment events
• Represent the School professionally at external exhibitions, community events and corporate engagement activities
• Work closely with Marketing to support targeted campaigns, lead-generation activity and admissions communications
• Develop relationships with nurseries, relocation companies, corporate partners and community organisations that may support future enrolment
• Support events outside standard working hours where required
  
  
  

Data, Reporting & Pipeline Management

• Maintain accurate and timely records across the School’s admissions and CRM systems
• Monitor enquiry volumes, application progress, conversion rates, withdrawals and enrolment trends
• Produce regular admissions reports and pipeline updates for School leadership
• Use data to identify trends, areas of opportunity and risks to enrolment targets
• Ensure all enquiries, applications and follow-up activity are recorded accurately and managed within agreed service standards
• Maintain the confidentiality and security of family and pupil information at all times
  
  
  

Collaboration & Operational Delivery

• Work closely with academic, finance, marketing, operations and People & Culture teams to ensure a coordinated admissions and onboarding process
• Liaise with academic leaders regarding assessments, year-group capacity and appropriate pupil placement
• Coordinate with Finance on fees, deposits, corporate arrangements and relevant concessions
• Ensure the accurate transfer of pupil information to relevant teams before enrolment
• Contribute to the continuous improvement of admissions processes, systems and communications
• Provide support across the wider admissions and parent-relations function during peak periods
  
  
  

Compliance

• Ensure admissions activity complies with KHDA requirements, School policies and Aldar Education procedures
• Maintain complete and accurate admissions records for regulatory, audit and safeguarding purposes
• Ensure all required documentation is collected, verified and securely maintained
• Apply admissions policies consistently, fairly and transparently
  
  
  

Qualifications

QUALIFICATIONS & EXPERIENCE

• Bachelor’s degree or equivalent professional qualification
• Minimum of three to five years’ experience in admissions, enrolment, customer experience, business development or a comparable client-facing role
• Previous experience within a premium school, education group, hospitality organisation or luxury service environment is strongly preferred
• Demonstrable experience of managing customer relationships and converting enquiries into confirmed enrolments or sales
• Strong understanding of pipeline management, conversion and customer-service standards
• Experience using admissions or CRM systems such as iSAMS, Salesforce or a comparable platform
• Strong analytical capability, with experience producing reports and using data to guide activity
• Excellent written and verbal communication skills in English
• Arabic language capability is highly desirable
• Knowledge of the Dubai education market and KHDA admissions requirements would be an advantage
