Job Description

An Administrative Officer is a critical component of any well-organized office. As an Administrative Officer with the designation 15J25, you will be responsible for managing various administrative tasks and ensuring the smooth operation of our organization's administrative functions. You will serve as the point of contact for administrative duties and provide support to the managerial staff and other employees. Your role will encompass a diverse range of tasks, from maintaining records and handling correspondence to coordinating office procedures. This position requires excellent organizational skills, the ability to handle multiple tasks, and a proactive approach to problem-solving. Success in this role will enable the organization to run more efficiently and effectively.


Responsibilities

  • Maintain and update company records using both digital and paper filing systems.
  • Coordinate and schedule meetings, conferences, and appointments for various departments.
  • Assist in the preparation and distribution of correspondence, reports, and presentations.
  • Manage incoming and outgoing mail and handle courier services as required.
  • Monitor office supplies inventory and order new supplies as needed to ensure availability.
  • Oversee the maintenance of office facilities and equipment, coordinating repairs when necessary.
  • Provide general administrative support to senior management and staff members.
  • Liaise and communicate effectively with clients, vendors, and third-party service providers.
  • Implement and oversee office policies and procedures, ensuring compliance with company standards.
  • Maintain confidentiality and security of sensitive information and company documentation.
  • Compile data for payroll processing and assist with employee record management.
  • Support special projects and perform additional duties as assigned by management.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven work experience as an Administrative Officer or in a similar role.
  • Excellent organizational skills with a keen attention to detail and accuracy.
  • Strong communication and interpersonal skills for effective collaboration.
  • Proficiency in Microsoft Office Suite and office management software tools.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong problem-solving skills and the ability to multitask under pressure.
  • Knowledge of office management systems and procedures is highly desirable.
  • Flexibility and adaptability to manage changing priorities and requirements.
