Job Description

We are seeking a dedicated and organized Administrative Officer to join our dynamic team. The ideal candidate will play a pivotal role in ensuring efficient operation within the administrative department by supporting other departments, executives, employees, and clients. The Administrative Officer will be responsible for managing office processes, maintaining clear lines of communication, overseeing inventory and supplies, and performing a variety of administrative tasks. This position requires excellent organization skills, attention to detail, and the ability to work independently with minimal supervision. A proactive approach, along with the ability to swiftly adapt to changing situations, will be essential for success in this role.


Responsibilities

  • Manage and oversee daily operations of the administrative department effectively.
  • Coordinate and schedule meetings, appointments, and travel arrangements for managers.
  • Maintain organizational confidentiality by safeguarding sensitive corporate information.
  • Develop and implement office procedures to improve operational efficiency.
  • Ensure timely communication and follow-up on requests from various departments.
  • Maintain inventory of office supplies and place orders as necessary.
  • Prepare and maintain records, correspondence, and other documents as required.
  • Assist with the preparation of reports, presentations, and data gathering projects.
  • Oversee and assist with office maintenance and cleanliness infrastructure.
  • Liaise with external vendors and service providers as required.
  • Facilitate new employee onboarding and provide general administrative support to staff.
  • Resolve administrative issues by proposing and implementing effective solutions.

Requirements

  • Bachelor’s degree in business administration or a related field is preferred.
  • Minimum of 3 years of experience in an administrative role or similar.
  • Excellent written and verbal communication skills are necessary for success.
  • Strong organizational skills with a keen attention to detail and accuracy.
  • Proficiency in using Microsoft Office Suite and general office equipment is required.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong problem-solving skills with the ability to handle tasks efficiently.
