Job Description

The Administrative Officer (04F25) plays a pivotal role in ensuring the smooth functioning and efficiency of the office environment. As a key member of the administrative team, this professional is responsible for a variety of tasks that include overseeing office operations, coordinating with different departments, and supporting staff to achieve organizational goals. The role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities simultaneously. The ideal candidate will be a proactive problem-solver who can anticipate challenges and make informed decisions. Responsibilities

  • Oversee daily office operations and provide administrative support to staff.
  • Manage scheduling, organization, and planning of meetings and appointments.
  • Coordinate with other departments and ensure seamless communication and operations.
  • Maintain office supplies inventory and order as necessary to ensure adequacy.
  • Support the preparation of correspondence, reports, and presentations.
  • Assist in budget preparation and expense management for office operations.
  • Ensure compliance with organizational policies and relevant regulations.
  • Supervise and guide subordinate staff in their daily tasks and responsibilities.
  • Implement and oversee processes to improve administrative operations efficiency.
  • Prepare and manage documentation and records to support office functions.
  • Address and resolve employee inquiries and issues in a timely manner.
  • Facilitate the onboarding process for new staff and ensure they feel welcome.

Requirements

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Proven experience in an administrative role with office management responsibilities.
  • Exceptional organizational and time management skills are essential.
  • Strong communication skills for both internal and external interactions.
  • Proficiency in MS Office Suite and other office management software.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Strong problem-solving skills and the ability to make informed decisions.
